How SMB Communications collects, uses, protects, and manages personal information.
Effective Date: September 14, 2026
Last Updated: September 24, 2026
SMB Communications (“SMB Communications,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information entrusted to us.
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit www.tryvoip.ca, contact us, request information or a quotation, use our customer portal, purchase or use our telecommunications services, or otherwise interact with SMB Communications.
We handle personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (“PIPEDA”) and applicable provincial privacy legislation.
The personal information we collect depends on how you interact with us and which products or services you use. We may collect:
We limit the collection of personal information to information reasonably necessary for the purposes identified in this Privacy Policy or otherwise explained to you at the time of collection.
SMB Communications may use personal information to provide, activate, configure, maintain, troubleshoot, support, bill, suspend, restore, or terminate telecommunications services; create and manage customer accounts; process telephone-number assignments and transfers; provide emergency calling services; deliver voicemail, fax, call forwarding, recording, and other communications features; authenticate customer portal users; process payments and invoices; respond to inquiries and support requests; detect and prevent fraud, abuse, unauthorized access, and security incidents; maintain and improve our systems and services; comply with legal and regulatory requirements; and communicate important service, billing, security, or account information.
Where appropriate consent has been obtained, we may also provide information about SMB Communications products, services, promotions, or offers. We will not use personal information for a materially different purpose without obtaining additional consent where required by law.
We obtain consent for the collection, use, and disclosure of personal information where required by applicable law. The form of consent may vary depending on the circumstances and sensitivity of the information involved, and may be express or implied where permitted by law.
You may withdraw consent to certain uses of your personal information by contacting us. Withdrawal of consent may affect our ability to provide a product, service, or feature where the information is reasonably necessary to provide it.
Some information must be collected, used, disclosed, or retained to meet contractual, legal, regulatory, fraud-prevention, billing, emergency-services, or telecommunications requirements and therefore may not be subject to withdrawal of consent.
Because SMB Communications provides telecommunications services, certain technical information is generated as part of delivering telephone and communications services. This may include telephone numbers, calling and called numbers, call timestamps, call duration, call direction, routing information, extension information, device information, IP-related technical information, and other service or call-detail records.
We may use this information to operate our network and services, route calls, provide customer support, investigate technical issues, calculate usage where applicable, detect fraud or misuse, maintain service quality, respond to lawful requests, and satisfy legal and regulatory obligations.
Where a customer enables features such as call recording, voicemail, fax, transcription, or similar services, the associated communications, recordings, or files may be processed or stored by SMB Communications systems or service providers to provide the requested feature.
Customers are responsible for ensuring that their own use of recording, monitoring, transcription, or similar features complies with applicable laws, notification requirements, and consent requirements.
Certain SMB Communications telephone services require an accurate physical service address for emergency calling purposes. We may collect, use, and disclose information reasonably necessary to provision and support 9-1-1 and other emergency services.
Customers are responsible for ensuring that emergency-service information associated with their telephone service remains accurate and current. Emergency-services information may be disclosed to telecommunications carriers, emergency-service providers, network operators, public safety answering points, or other organizations where reasonably necessary to provide emergency assistance or satisfy regulatory requirements.
When you submit information through www.tryvoip.ca, we may collect information you voluntarily provide, including your name, business or organization name, telephone number, email address, service requirements, and the contents of your inquiry or message.
Registered customers may have access to an SMB Communications online customer portal. Information associated with portal use may include usernames, authentication information, account details, service information, invoices, support information, and other information associated with the customer's account.
Customers are responsible for maintaining the confidentiality of their login credentials and notifying SMB Communications promptly if they suspect unauthorized access to their account.
When you use SMB Mobile, we may process information needed to provide calling, messaging, authentication, notification, and account features. Depending on the features you use, this may include your SMB account and portal email address, assigned telephone numbers and extensions, telephone numbers involved in communications, message content and message metadata, message delivery and read status, app-generated installation or device identifiers, push-notification tokens, IP and network information, and technical service information.
SMB Mobile may request access to your device microphone for voice calling, Bluetooth connectivity for compatible audio devices, and notification permissions for service and message alerts. The current Android application does not request access to your device contacts, precise location, photos, general file storage, SMS inbox, call log, IMEI, ICCID, or EID solely by virtue of installing the application.
SMB Mobile uses secure application storage for authentication session information. Portal passwords are used to establish a session and are not intentionally stored by the application. Push-notification delivery may use Google Firebase Cloud Messaging or comparable platform services, which process device or installation identifiers and notification payloads as necessary to deliver notifications.
Message notifications may contain a sender label and a limited message preview. Whether that information appears on a locked device depends on the notification privacy settings selected on the device. Voice media is processed as necessary to provide calls; where a separate recording feature is enabled by a customer or service configuration, any retained recording is handled under the communications-content provisions of this Policy.
Our website may use cookies, session identifiers, analytics, and similar technologies for website functionality, security, customer authentication, session management, preferences, performance measurement, and understanding how visitors use our website.
SMB Communications currently uses Google Analytics on portions of tryvoip.ca to help us understand website traffic and usage. Google may process information such as device, browser, IP-derived, and website interaction data in accordance with its own privacy practices.
Our website may also use Tawk.to to provide live-chat functionality. Information entered into the chat service, along with technical information associated with the session, may be processed by Tawk.to in order to provide that service.
Most browsers allow you to control, block, or delete cookies. Disabling certain cookies may prevent portions of our website or customer portal from functioning correctly. Where consent is required for non-essential cookies or tracking technologies, we will seek appropriate consent.
SMB Communications does not sell or rent personal information.
We may disclose personal information to telecommunications carriers, network operators, telephone-number and number-portability providers, emergency-services providers, hosting and infrastructure providers, email and communications providers, payment processors, billing providers, equipment suppliers, software and technology providers, security providers, contractors, professional advisers, and other service providers acting on our behalf where reasonably necessary to operate our business or provide requested services.
We may also disclose information where required or permitted by law, including in response to a court order, warrant, subpoena, regulatory requirement, lawful government request, emergency, suspected fraud, security incident, or other lawful process.
Information may also be disclosed in connection with a proposed or completed business transaction such as financing, restructuring, merger, acquisition, or sale of assets where permitted by law and subject to appropriate safeguards.
SMB Communications may use service providers located outside the province in which you reside or outside Canada. As a result, personal information may be processed or stored in another province, territory, country, or jurisdiction.
When personal information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement agencies, regulatory bodies, or governmental authorities in accordance with applicable law.
SMB Communications takes reasonable measures to ensure that service providers handling personal information provide an appropriate level of protection.
Where customers make payments for SMB Communications services, payment information may be processed through a third-party payment processor or financial institution.
SMB Communications may retain information about the payment transaction, including transaction date, amount, payment status, invoice reference, payment method type, and other information necessary for accounting, billing, dispute resolution, and fraud prevention.
Where a third-party payment processor handles full payment-card or banking credentials, its handling of that information may also be governed by its own privacy and security practices.
SMB Communications uses administrative, technical, organizational, and physical safeguards appropriate to the sensitivity of the personal information we handle. These safeguards may include account authentication, access controls, permission restrictions, network security controls, encryption where appropriate, secure communications protocols, system monitoring, backups, logging and auditing, employee and contractor access restrictions, and physical security measures.
Access to personal information is limited to employees, contractors, and service providers who reasonably require access to perform their duties.
No electronic or telecommunications system can be guaranteed to be completely secure. However, SMB Communications takes reasonable measures designed to reduce the risk of unauthorized access, disclosure, loss, alteration, misuse, or destruction.
SMB Communications retains personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected and to satisfy legitimate business, contractual, accounting, taxation, regulatory, telecommunications, security, dispute-resolution, and legal requirements.
Retention periods may vary depending on the type of information. Account information, billing records, telecommunications records, voicemail, fax data, call recordings, support records, and security logs may have different retention periods.
When personal information is no longer reasonably required, SMB Communications takes appropriate steps to securely delete, destroy, or anonymize it, subject to legal and operational requirements. Backup copies may remain within protected backup systems for a limited period before being overwritten or removed through normal backup-retention processes.
SMB Communications makes reasonable efforts to ensure personal information is accurate, complete, and current where necessary for the purposes for which it is used.
Customers are responsible for notifying us when relevant information changes, particularly account-owner information, authorized contacts, telephone numbers, email addresses, billing information, service addresses, and emergency 9-1-1 addresses.
Subject to applicable law, you may request access to personal information SMB Communications holds about you and request correction of information you believe is inaccurate or incomplete.
Before fulfilling an access or correction request, we may require reasonable information to verify your identity. In certain circumstances, applicable law may permit or require us to refuse access to some information. Where appropriate, we will explain the reason for the refusal.
Depending on your province or territory and the applicable legislation, you may have rights concerning personal information held by SMB Communications, including the right to request access or correction, ask how information has been used or disclosed, withdraw consent where permitted by law, and raise a concern or complaint regarding our privacy practices.
We will respond to privacy requests in accordance with applicable legal requirements.
Where permitted by law, SMB Communications may send information about products, services, promotions, upgrades, or offers that may be relevant to you. Electronic marketing communications will be sent in accordance with applicable Canadian requirements, including Canada's Anti-Spam Legislation where applicable.
You may unsubscribe from marketing communications using the unsubscribe option provided with the communication or by contacting SMB Communications. Unsubscribing from marketing communications will not prevent us from sending necessary billing, service, account, security, regulatory, emergency, or other transactional messages.
If SMB Communications becomes aware of a security incident involving personal information, we will investigate and take reasonable steps to contain, assess, and address the incident.
Where required by applicable privacy legislation, SMB Communications will notify affected individuals and the appropriate privacy regulator and will maintain records relating to the incident as required by law.
Our website and telecommunications services are primarily intended for adults, businesses, organizations, and individuals capable of entering into telecommunications service arrangements. We do not knowingly seek to collect personal information directly from children without the involvement of a parent, guardian, or other authorized adult where consent is required.
Our website may contain links to websites, applications, or services operated by third parties. SMB Communications is not responsible for the privacy practices, security, accuracy, availability, or content of third-party websites or services. We encourage you to review their privacy policies before providing personal information.
Where an organization purchases SMB Communications services for use by its employees, contractors, residents, members, customers, or other end users, the organization may provide us with information concerning those individuals.
In such circumstances, the customer organization is responsible for ensuring that it has the authority and any required consent to provide that information to SMB Communications. We will process such information only as reasonably necessary to provide the requested telecommunications services and for other purposes permitted by law.
If you ask SMB Communications to transfer an existing telephone number from another telecommunications provider, we may collect and disclose information necessary to complete the number-transfer process.
This may include account-holder name, service address, telephone number, existing provider information, account information, authorization information, and supporting documentation where required. This information may be provided to carriers, portability administrators, or other telecommunications service providers involved in completing the requested transfer.
SMB Communications may monitor service usage and technical information where reasonably necessary to detect fraud, prevent unauthorized service use, identify account compromise, detect telecommunications abuse, investigate suspicious calling patterns, protect customers and our network, and comply with legal or regulatory obligations.
This may include automated monitoring of technical events, call patterns, authentication activity, network events, and system logs.
We may update this Privacy Policy from time to time to reflect changes to our services, website functionality, business practices, technology, service providers, regulatory requirements, or applicable privacy laws.
The current version will be posted on www.tryvoip.ca and will display the date on which it was last updated. Where required by law, SMB Communications will provide additional notice of material changes.
